Privacy Policy
This is the privacy policy for www.howardnaish.co.uk, run by Howard Naish Wooden Floors Ltd ("we", "us"): a company registered in England and Wales, Company No. 13111793, registered office 125 Wavertree Road, London SW2 3SN, working day to day from 61b Midmoor Road, Balham, London SW12 0ES. We are the data controller for the information described below. You can reach us any time at [email protected] or on 020 3131 0122.
The short version: we collect only what we need to answer your enquiry, do your floor or send your order. We run no analytics, no advertising trackers and no marketing lists. We never sell your details, and we never will.
What we collect, and why
Enquiry forms. When you use a contact or survey form on this site we collect your name, phone number, email, postcode or address, and whatever you tell us about the floor. The form is delivered to our email inbox by Web3Forms, a form delivery service, and we use it for one thing: replying to you and arranging the work. If the job goes ahead, the details become part of the job record.
The floor visualiser. To use the visualiser you give us your email address, which we use to send your access code and to apply the fair-use limits. The photo you upload is sent to OpenAI, our AI image provider, to generate your visualisation; it is not saved to our systems and our team never sees it, and OpenAI does not use photos sent through its API to train its models. A record of your email and how many visualisations you have used is kept so the limits work.
The shop. Payments are handled entirely by Stripe. Your card details go directly to Stripe and never touch our systems. We receive your name, contact details and delivery address so we can fulfil the order, and we pass the delivery address to our supplier only where needed to deliver your goods.
The Floor Care Plan. If you pay by Direct Debit, the payment is set up and processed by GoCardless. Your bank details go directly to GoCardless, not to us.
Emails from us. Transactional emails (such as visualiser codes) are sent through Resend, an email delivery service. We do not send marketing emails.
Visiting the site. The site is hosted by Cloudflare, which, like any host, processes your IP address to serve pages and protect the site from malicious traffic. Our pages load fonts from Google Fonts, and the contact page shows an embedded Google Map; in both cases your browser makes a request to Google, which sees your IP address. We do not receive or store any of this.
What we don't do
No analytics or behavioural tracking of any kind. No advertising pixels. No marketing emails or lists. No selling or renting of data. We only ever use your details to deal with you about your floor or your order.
Legal bases
Where you ask us to quote or do work, or buy from the shop, we process your details to take steps towards and perform a contract with you. Where we keep job and invoice records, that is to meet our legal obligations. Everything else (such as replying to a general question) rests on our legitimate interest in running the business, which you have the right to object to.
Where the data goes
Some of the providers above (for example Stripe, OpenAI and Web3Forms) process data in the United States or elsewhere outside the UK. Where that happens, the transfer is covered by UK-recognised safeguards such as the UK Extension to the EU-US Data Privacy Framework or the International Data Transfer Agreement.
How long we keep it
Enquiries that don't become jobs: up to two years, so we can pick the conversation back up if you come back to us. Job records, quotes and invoices: six years after the tax year they relate to, because tax law requires it. Visualiser usage records: kept while the fair-use limits apply. Ask us to delete your details at any time and we will, unless the law requires us to keep them.
Keeping it secure
The whole site runs over HTTPS. Payment details never touch our systems. Access to our email and business systems is limited to the two directors. If you ever suspect a problem with data we hold about you, email [email protected] and it will be dealt with by a director immediately.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to our use of it, and to have it transferred to someone else. Email [email protected] and we will sort it, free of charge, usually well within the month the law allows. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
This website only sets cookies that are strictly necessary for it to function and stay secure, which is why there is no consent banner. We use the following:
Cloudflare security cookies (for example __cf_bm): set by our hosting and security provider Cloudflare to protect the website from malicious traffic.
Stripe payment cookies: set when you use the shop checkout, by our payment provider Stripe, for secure payment processing and fraud prevention.
The website also uses your browser's local storage for small conveniences (for example remembering that you have already seen the welcome screen, or your visualiser access code). That information stays on your device and is not transmitted to us. You can block or delete cookies in your browser settings; the shop checkout may not work without them.
Links and changes
Where the site links to other websites (for example Instagram, Checkatrade or our suppliers), their privacy policies apply there, not this one. If we change this policy we will post the new version here with a new date.
